v2.10.0 – DogBase Inventory & Record Version History

Release Date: October 27, 2026

Your training aids and equipment now live in DogBase, right next to the dogs and records that use them. This release adds Inventory, a full module for tracking every aid from issue to disposal with a proper chain of custody. It also gives every training and action a readable edit history, so you can see who changed what and when.

📦 DogBase Inventory

Inventory is a new module for your training aids and equipment. You can see at a glance what's expired, what's due for a check and what's running low, then open any item for its full story.

Overview: expired, due and low items, plus Coming Due, Use Over Time, By Kind, Most Used and Recently Retired
All Items: search, filters and tabs for each kind of item
Item page: details, a QR label, Used In (every training and action that used the item) and a History timeline
Logging widget: record which aids were used, right inside a training or action
Reminders: expiry and check reminders for each item

Detection and scent teams can now tie every aid to the sessions it was used in.

🔗 Chain of Custody & Compliance

Every movement of an aid is recorded, so you can show where it's been and who authorized it.

Issue, Transfer and Return items with location, authorizing officer, witness and a note
Record inspection results and disposal records
Retire an item and link it to its replacement
Disposed aids become read-only, so their record can't change afterward

When someone asks where an aid has been, the answer is on one page.

📊 Inventory Reports, Labels & Insights

Inventory plugs into the reporting and analytics you already use. It builds on Insights V2 and Reporting V3 from v2.8.1.

Reports → Inventory: Register, Activity Log, Usage and Audit Report, with Excel and CSV export (Audit Report is admin only)
Item PDFs and QR label PDFs, one at a time or as a batch
Insights: filter and compare by Item, Type and Odor in Drill-down, plus a new Inventory card on the Insights home page
Inventory changes show up in your activity feed

🔐 Inventory Roles & Plans

You control who can change your inventory records.

Admins add, edit, reactivate and dispose of items
Members can record inspections, handle custody, retire items and export item PDFs
Usage records follow your existing data visibility settings
The Handler plan includes up to 15 items, custody tracking starts on Team, and transfers, inspection results and disposal records are available on Unit and above

🕓 Record Version History

Trainings and actions now keep a full, plain-language history of every edit.

Actions get the same version picker trainings already have
A new View changes panel lists every version and file event, newest first: who made the change, when, and what changed (for example "Distance: 50 m → 80 m")
Fields DogBase fills in after an edit, such as weather, air quality, season, time of day and AI summary, are tagged "Updated automatically"
Every edit shows who made it, and records now include a Last Edited By field
Versions start at 1.0 with no upper limit, and Times Edited shows the real number of edits

If a record is questioned months later, you can show exactly how it got to its current state.

🎂 Dog Birthday Reminders

DogBase now reminds you of each dog's birthday the morning before, at 9:00 in your time zone.

A birthday email with the dog's name, age, photo, birth date and a link to their profile
Follows your reminder email setting
Dogs born on 29 February are celebrated on the 28th in non-leap years

🔍 Better Search

Search now covers dogs, trainings, actions, teams, vet visits, health records, people and the activity feed.

Records show first (up to 20), followed by the five newest matching activities
Searching a dog's name now returns the dog, not just activity entries
Results respect each user's data visibility

♻️ Team Restore

Deleted teams are no longer gone the moment you delete them. This builds on Team & Training Deletion from v2.4.7.

Restore a deleted team within 60 days, after which it's permanently removed
The Teams page Deleted view now lists your deleted teams correctly
Trainings, actions and health records keep their own team details, so they aren't affected when a team is removed
Only account admins and the team's creator can delete a team
Team deletions and restores appear in the activity feed, credited to the person who made them
New accounts get a team set up automatically at signup, so onboarding is one step shorter

💳 Plans & Archived Dogs

Archived dogs are view-only across the dog page, Health Center, records, pickers and reminders, and their PDFs and downloads aren't available
Cancelled, expired and ended accounts are read-only, and add buttons explain how to get a plan
When you reach a plan limit, you'll see a clear message and a usage notice before you start filling in a form
Individual user and team reports, and comparing dogs and users, are now on every plan
Trials get the full Unit plan limits
On the Handler plan, custom fields, groups and the activity feed follow the limits listed on our pricing page

🛡️ Security, Reliability & Fixes

Signing out now fully ends your session, and sessions end after a period of inactivity
New passwords need at least 8 characters with a letter and a number. Your existing password still works
Fixed an issue where returning users could be signed out right after logging in
Clearer messages for a wrong current password and for signing in to a disabled account
Invitations can be accepted once your email is verified
PDF exports and downloads now require membership of the account
Tighter checks keep records, files and team data inside your own organization
Air quality labels were reversed in the weather card, weather stats and training PDF. They now read 1 Good to 5 Very Poor
Travel & Crate Sizing measurements and the crates list now save correctly
Archiving and unarchiving a dog keeps its teams, and archiving works even if the handler has left the team
Creating a team without a location now confirms correctly
Removing a user from an account no longer fails in some cases
Deleted teams no longer show a Details action that wouldn't load
